Partner Programmes - Operations

OVERVIEW

The Partner Programmes take place at the Kerry Hotel Pudong that are conveniently located next to Shanghai New International Expo Centre (SNIEC). This five-star hotels offer impressive state-of-the-art auditoria and ballrooms as well as high-end accommodation, and can host your event with flexible formatting to better reach your target audience in the mobile ecosystem.

The GSMA provides a turnkey solution for Partners, however should you have any customised requirements, please discuss directly with your Operations Manager.  Please note, due to Covid-19, the meeting capacity is subject to change if required for Health and Safety reasons by the Venue or a Governmental Body. Any change shall be notified to the partner as soon as reasonably practicable.

OPERATIONAL PACKAGES

The GSMA provides an operational package for each of the different event spaces which typically includes:

  • AV equipment & Crew
  • Standard Theatre style seating
  • Stage set and furniture (for ballrooms only)
  • Internet support (fixed line offered in some rooms only)
  • Lighting (for ballrooms only)
  • Branding opportunities
  • Simple catering

Please refer to the deliverables outlined in your contract for further information. Should you have any custom or additional requirements, GSMA will endeavour to accommodate them, subject to the terms and conditions outlined in your contract. Please speak directly with your Operations Manager for a detailed proposal.

Prior to our Partner kick-off call, we will provide you with the detail of your specific package for you to review internally with your team, and during the call we can clarify any questions that you may have regarding the  deliverables.


RUNNING REHEARSALS, THE SHOW, AND WORKING WITH THE SHOW CREW

Whilst the GSMA provides you with operational support in the lead up to the show, as well as onsite, we do not provide an Operations Manager that is dedicated to only your show while onsite. Therefore it is crucial that you provide a designated Project Manager or Production Manager that knows your requirements and who will work directly with the show crew and run rehearsals and content for the show.

To ensure requirements are properly communicated, we provide a template for the ‘run of show’ for you to complete. . This document explains the order and details of your event to the in-room AV crew, in a format they are accustomed to using.

During the kick off meeting, we will also confirm the deadline for when you need to upload your final run of show for review by your Event Operations Manager. This will help to check that the AV crew are prepared for the content /activities that you’re planning in the room.

AUDIO VISUALS SUPPORT

AV equipment and crew appropriate to the size of your meeting space and package are included in the standard package. Please review the equipment list and advise your Operations Manager of any questions. If additional equipment is needed, this can be discussed with your Operations Manager to determine feasibility and any additional costs. The deadline for making any such requests for changes/additions will be included in the package information provided prior to the kick off call. Orders after this date will be subject to availability and may incur late order surcharges. Any cancellations after the final confirmation date will be charged at full price. Again, all of these deadlines will be clearly communicated to you.

Please be respectful of the crew and their working hours when planning your agenda. Regular breaks, including lunch are mandatory, and will need to be coordinated with your Operations Manager in advance.

VISUALS / BRANDING

Please check your contract for specifics on what branding (printed and/or digital) is included. All branding and visuals must be approved by GSMA.

The deadlines for the submission of artwork files will be included in the package information provided prior to the the kick off meeting.

File specifications and transfer methods will also be included in the package information. High resolution and/or vector graphic (AI or EPS) files are best. Your Event Operations Manager will provide you with the correct file specifications for your specific branding opportunities.

Please ensure all files are correctly and clearly labelled so there is no confusion.

WALK-THROUGHS

We highly recommend that all Partners schedule a walk-through of the event spaces prior to MWC Shanghai. This enables you to meet the MWC Shanghai team in person, familiarize yourself with the event spaces and audience flow, and discuss your programme to ensure your requirements are met. Note that depending on the timing of the walk-through, the event spaces may not be set with AV, furniture or stage sets for your event, and in no case is technical support available. Reviews of content (presentations, videos), sound or lighting, or branding elements should take place during your scheduled rehearsal slot. If additional rehearsal time is needed, please discuss directly with your Operations Manager.


REHEARSALS

Please refer to your contract for details of what rehearsal time is included within your package. If additional rehearsal time is needed, please discuss directly with your Operations Manager.

To maximise the effectiveness of your rehearsal, and the subsequent success of your event, please ensure that all of your speakers and relevant stakeholders attend the rehearsal session and come prepared. Reviews of content (presentations, videos), sound or lighting, or branding elements can take place during your scheduled rehearsal slot.

INTERNET

Some packages include a dedicated fixed line for higher demand internet service. If additional internet service is required, please contact your Operations Manager. The deadline for placing additional IT orders will be communicated during the Kick off Call.  Any orders or changes after this date will be subject to availability and late order surcharges. Any cancellations after this date will be charged at full price.


FURNITURE

Standard furniture for the audience, stage (speaker seating and coffee table(s)), and catering / networking activities is included in the standard package. Please review the listing of furniture and if you wish to order anything over and above what is already included, please contact your Operations Manager directly. The deadlines for any orders, surcharges or cancellations will be included in the package details.  


CATERING

Please check your contract for specific catering inclusions. Most packages include one coffee break with cookies and bottled water in the ballroom for all guests. Should you wish to order any additional catering for the attendees/your staff, please contact your GSMA Operations Manager for menu options. Catering storage and tables are included as part of your package. . The deadlines for any additional orders, surcharges or cancellations will be include in the package details.


EVENT SUPPORT STAFF

GSMA provides Event Support Staff (ESS) for general assistance for each partner programme. The quantity of staff depends on the package and event size. For additional staff, please speak with your Operations Manager directly. The deadlines for any additional orders, surcharges or cancellations will be included in the package details. GSMA will provide training regarding MWC Shanghai and general duties, but you are responsible for informing and training ESS of specific requirements and activities needed. Please be respectful of the Support Staff and their working hours. Regular breaks, including lunch are mandatory, and will be coordinated with your Operations Manager.

  • Thursday 2 July opening time: 09:00-16:00
