DOCUMENTATION REQUIRED FOR CUSTOMS CLEARANCE

A Commercial Invoice / Packing List must be raised for any shipment originating from outside the USA, for customs clearance purposes. Invoices should be addressed as follows:

The commercial invoice should clearly indicate which items will return to origin (temporary import) and items for giveaway/distribution (permanent import). The invoice/packing list must also include the following information:

  • Description of each item
  • Serial number of each item (if applicable)
  • Model number of each item (if applicable)
  • Harmonized tariff code for each item
  • Values for each item
  • Country of manufacture
  • Any textile material should include fabric content and confirmation of whether knit of woven or dyed or printed

MATERIAL HANDLING / DRAYAGE SERVICES


Freeman is appointed as the official material handling / drayage contractor for this event. Freeman will be offering an advance receiving warehouse for the event and will be responsible for freight handling on-site at the Los Angeles Convention Center and will charge for this service. Exhibitors will be responsible for settling material handling / drayage charges directly with Freeman and all such charges are excluded from EF-GSM tariffs.

DELIVERIES TO ADVANCED WAREHOUSE

If you are not using EF-GSM Limited services, and to ensure a smooth delivery upon your designated move-in time, advanced deliveries are allowed to be received beginning Monday, September 16, 2019 at the below address.

Material arriving after Tuesday, October 8, 2019 will be received at the warehouse with an additional after deadline charge. Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:00 am - 3:30 pm. Pre-advices:  
Shipments arriving before Monday, September 16, 2019 will incur a storage fee, and shipments arriving after Tuesday, October 8, 2019 will incur an additional after deadline charge.

Freeman will receive shipments at the exhibit facility beginning at your targeted date and time. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility are the responsibility of the exhibitor

SHIPPING FOR HANGING SIGN, TRUSS, FLOORING

To ensure efficiencies during move-in it is highly advised that all hanging signs, truss, and flooring arrive to the Advanced Warehouse on or between Monday, September 16 2019 and Tuesday, October 6, 2019.

Hanging Signs:

Freeman is responsible for assembly, installation, and removal of all hanging signs.

  • All signs must be designed to comply with Show Organizer rules and regulations and facility limitations.
  • Hanging Structures are permitted in most areas of the convention center with the exception of meeting rooms and lobbies. All ceiling rigging must conform to Show Management rules and regulations and facility limitations.
  • Freeman is the exclusive contractor for all ceiling-hung materials. All truss systems must also meet all facility rules and regulations.
  • Set up instructions must be provided for signs needing assembly.
  • Hanging anchor points must be pre-fabricated and ready for use.
  • If any hang point supports over 250 lbs., notify Freeman immediately for special authorization.

Truss and Hoists:

Freeman is responsible for assembly, installation, and removal of all truss.

  • All truss must be designed to comply with Show Organizer rules and regulations as well as facility limitations.
  • All truss must be from a recognized manufacturer. Manufacturer load specifications for your truss must be at show site prior to rigging.
  • Climbing on truss is strictly prohibited.
  • All lamps and fixtures to be attached to truss must be in good working order and in compliance with the National Electric Code.
  • All hoists must be from a recognized manufacturer and must be in good working order.
  • Hoist maintenance records should be available for inspection by Freeman.
  • Include a copy of the weight specifications for all Truss Structures.
  • All truss systems that are to be suspended from the ceiling will require detailed blue prints that indicate all hanging points and weight loads for each point.
  • FREEMAN REQUIRES AN ENGINEER PRINT OF TRUSS AND LIGHTING RIGGING. PLEASE PROVIDE A DWG FILE OF THE RIGGING PLOT WITH LOAD REQUIRED INFORMATION 3 WEEKS PRIOR TO MOVE IN.  INCOMPLETE INFORMATION MAY PROHIBIT YOUR TRUSS RIG FROM BEING HUNG.

ADDITIONAL SHIPPING INFORMATION


INSURANCE

We strongly recommend that all exhibitors arrange Insurance coverage to include transit to and from the exhibition whilst on display and in storage. Please note that EF-GSM Limited does not insure automatically unless asked to do so in writing. Please note that it is the exhibitors’ responsibility to ensure that if goods are left on the booth, adequate security measures are taken to ensure the security of such items. EF-GSM Limited not liable for any losses, theft or pilferage.


LATE ARRIVAL SURCHARGES 

Any shipments arriving after deadlines will be subject to a late arrival surcharge of an additional 30% of EF-GSM Limited official tariff.


BASIC CONDITIONS OF CONTRACT 

All work undertaken is subject to the BIFA (British International Freight Association) terms and conditions (2017 Edition).

Invoices will be due immediately after issue without any further notice. New customers or those with whom that do not have a terms of payment agreement will be asked to pay charges prior to the start of the event, on-site during the event and/or before return shipping of their exhibits. All charges levied will be in accordance with the official exhibition tariff.

TEXTILES

When shipping textiles or apparel of any kind, it is very important that detailed descriptions of the merchandise be provided for each item, e.g. long sleeve T-shirts, 100% cotton, white with blue stripes, size: large, quantity 8. Indicate if textiles are woven or knitted. It is important to state the Country of Origin and the merchandise must be labelled as such. Please explain if the textile is died or printed and please be sure to describe how each material is being shipped, e.g. roll or swatch. Please indicate the dimensions of each piece.


WOODEN PACKING MATERIAL REQUIREMENTS

Any wooden packing material must be ISPM compliant for importation into the USA and must have the following IPPC marking.

Any wooden packing material arriving without this marking is liable for either immediate re-export to origin or destruction, both at the cost of the shipper.
