WHAT IS A TARGETED MOVE-IN AND HOW DOES IT WORK?

  • A targeted move-in is a designated day and time for arrival of a particular exhibitor or exhibit freight depending on their location within the facility, according to a target map/floor plan.
  • As long as your truck arrives during your target time on your targeted date, there is no additional off-target charge.

Clean floor policy starts at 12:00 PM.
All crates must be tagged by 10:00 AM and will be removed from the floor by 12:00 PM.
All other materials will need to be within the booth space.
No late work will be permitted.


IMPORTANT NOTES FOR TARGETED MOVE IN

Safety and Security is GSMA’s and Freeman’s top priority. Please watch for forklifts and moving vehicles during move-in. Do not leave valuable items unattended in your booth.

Carpet & Hanging Signs: it is recommended to send hanging signs to the advance warehouse. All advanced freight will be delivered to your booth based on the targeted move-in. Please use proper labels referenced on the Shipping & Freight

You must carry a photo ID with you at all times during move-in and move-out.


EXTENDED HOURS ACCESS – WRISTBANDS

The move-in period is Thursday, October 17 to Monday, October 21. Booth personnel may access the exhibition halls starting on your targeted move-in date.

To request wristbands the Move-in & Move-out Passes form in the Online Event Manual (OEM), via Forms and Deadlines section will need to be submitted by your targeted move-in date or no later than Monday, September 10.

Wristbands can be picked up at the security desks in South or West Hall at the start of each day. A different color wristband will be distributed each day. Exhibitors can access the venue with either a wristband or your event badge after registration opens on Sunday, September 20 at 9:00 AM. Starting Tuesday, October 22, you will need your event badge and ID.

However, if booth personnel requires access to the venue during move-in and move-out and does not require access during show days an event badge is not needed.

LATE WORK ONSITE

If an exhibitor requires late work access during the move-in period between Thursday, October 17 and Sunday, October 20, the request will need to be submitted no later than 12.00 PM at your nearest Exhibitor Service Desk (ESD) or to a floor manager on the day it is needed.  

Overnight security for the booth will be required and can be ordered through the security vendor. Any booths over 1,500 square feet will be required to have two security guards present.

If approved, late working hours are between 10:00 PM – 8:00 AM the next day.

No overnight build work can be requested October 21. All crates will be removed by 12:00 PM on October 21.

Note: Exhibitors and Visitors have different entry times for the event. See table below. The below opening hours also apply to meeting rooms located inside the exhibition halls.

  • The show closes on Thursday, October 24 at 3:00 PM
  • Exhibitors with Extended Hours Access badges (Exhibitor Staff/ Exhibitor Contractor/ Gold or VIP) will be able to remain in the venue until 4:00 pm in order to remove valuable goods from their booth that can be taken by hand without the use of handcarts.
  • Aisle carpet removal will begin at the close of the show. Please keep the aisles clear of debris to expedite this process and prevent trip hazards. Please pull those parts of your displays you can easily handle and are closest to the aisles further into your booth space to help protect them
  • Exhibitors with Extended Hours Access badges and/or wristband will be allowed to re-access the show floor after the aisle carpet is removed
  • All empties will be returned by 3:00 PM on Friday, October 25

IMPORTANT NOTES FOR DISMANTLING:

AISLE CARPET REMOVAL: Aisle carpet removal will begin promptly at the close of the show. Please keep the aisles clear of debris to expedite this process and prevent trip hazards. Please pull those parts of your displays you can easily handle and are closest to the aisles further into your booth space to help protect them.

All personnel requiring access to the exhibition during move-in and move-out hours must have a wristband.

All exhibitors and their contractors must have the necessary wristbands to access the venue during move-in and move-out. Wristbands need to be requested by submitting the Move-In and Move-Out form through Forms & Deadlines.


WASTE REMOVAL/SEPARATION POLICY

Certified by the U.S. Green Building Council as a gold level LEED facility, the Center prides itself in being a steward of the environment and will endeavor to recover the maximum volume of recyclable waste from previously mentioned areas. Licensee’s general service contractor and cleaning contractors are mandated to comply with the venue’s bulk trash disposal recycling program and utilize recyclable bins located in the loading dock areas. This includes proper separation of waste in bins labeled as follows: paper; carpet and bottles/cans. Recyclable waste recovered will be sent to diversion sites for “composting” or regeneration.


HARD HATS & HIGH VISIBILITY VESTS

As a continued effort to maintain healthy and safety precautions at all GSMA events, we strongly encourage all personnel to wear a Hard Hat & High Visibility vest during build-up and dismantling days.

FREEMAN UNION REGULATIONS

DECORATORS UNION:Members of this union claim jurisdiction over all set-up and dismantling of exhibits including signs and laying of carpet.  This does not apply to the unpacking and placement of your merchandise.  You may install and/or dismantle your exhibit display if one person, who is a full time employee, can accomplish the task in an hour or less without the use of tools.

If your exhibit preparation, installation or dismantling requires more than 1 hour, you must use union personnel supplied by the Official Decorating Contractor.

As an exhibitor, you will be pleased to know that when union labor is required, you may provide your company personnel to work along with a union installer in Southern California on a one-to-one basis.

TEAMSTERS UNION:This union claims jurisdiction on the operation of all material handling equipment, all unloading and reloading, and handling of empty containers.  An exhibitor may move the material that is hand carryable by one person in one trip, without the use of dollies, hand trucks or other mechanical equipment.

ELECTRICAL UNION:IBEW Electricians jurisdiction covers all electrical labor for each booth including but not limited to, cable distribution under your carpet or flooring, and throughout the booth structure. Included are connections & hardwiring of all electrical equipment, (e.g. 208volt & higher services, panels, motors, and audio visual equipment), installation of all lighting hung from truss or beams & distribution of all cabling throughout the booth & truss structures.  All stage hand labor used in the exhibit area will be supplied through Freeman with exception of their company representative/supervisor.  Unless contracted directly with the in-house AV / Internet provider, all data and coaxial cable run within the booth, overhead or on the floor will be installed by our electricians. Electrical services are provided on a time and material basis and cannot be performed by other unions, I&D houses or Exhibitors.

SAFETY:Standing on chairs, tables or other rental furniture is prohibited.  The furniture is not engineered to support your standing weight. Freeman is not responsible for injuries caused by improper use of furniture.

TIPPING:Freeman request that exhibitors do not tip our employees.  They are paid at an excellent wage scale denoting a professional status and we feel that tipping is not necessary.  This applies to all Freeman employees.
