EVENT RULES




ADULT CONTENT

The Organizer shall be entitled to close a booth during move-in or exhibition hours if the Organizer feels the Company is displaying materials of an offensive nature. The Organizer reserves the right to shut down and clear out a booth, with the Company absorbing any or all costs that may arise.


AGE RESTRICTION

Individuals under 18 years of age (including infants) are not permitted entry to the MWC Los Angeles 2020 Venue during installation, dismantle or Event days. Any exceptions to this policy are at the sole discretion of the Organizer and requests for such permission must be provided to the Organizer, in writing, prior to start of the Event.


The Organizer acknowledges that there may be circumstances in which a guardian has to bring an individual younger than 18 years of age (a “Minor”) to the Event in the absence of adequate childcare. The guardian must accompany the Minor at all times and is responsible for ensuring both the Minor’s safety and the Minor’s compliance with these Terms.

Guardians are asked to help maintain a professional, disturbance-free environment.

Please note that the Event environment may not be suitable for all Minors.

Any guardian desiring to bring a Minor to the Event must sign a waiver and release of liability prior to entering the Event this will need to be done at the North Registration area only on arrival, further information can be found in our Terms & Conditions.

In order to help prepare for your visit, please keep in mind that the Event includes:

  • Loud noises and music
  • Significant visual stimulation (including bright lights, large screens and demonstrations)
  • Large crowds
  • State of the art technology


ALCOHOL AND DRUGS

The Organizer recognizes the legitimate serving of alcohol beverages in the process of conducting business and social activities. Attendees carry the responsibility to consume the beverages responsibly and must remain in compliance with the professional code of conduct. The consumption of alcoholic beverages is prohibited during installation and dismantling for safety and liquor liability purposes. Alcoholic beverages may only be provided by Taste of LA, the exclusive provider of food and beverage operations at the Los Angeles Convention Center (LACC).


ANTI-HARASSMENT

The Organizer is dedicated to providing a positive, harassment-free event experience for all participants and staff, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age or religion. The Organizer does not tolerate harassment of event participants or staff in any form. The use of harassing language and imagery (including that of a sexualized nature) is not appropriate at any Organizer event or related social activity sponsored or organized by the Organizer. Any Event participant, including exhibitors and exhibitor staff, found to be violating this policy may be sanctioned or expelled without a refund at the Organizer’s sole discretion.


BADGE POLICY

Organizer-issued credentials are the sole property of the Organizer and must be surrendered upon demand to Organizer and/or an Organizer representative. Organizer issued credentials must be prominently displayed while at MWC Los Angeles or designated off-site activities. False certification of an individual as a representative of Company, misuse of an exhibitor’s badge associated with Company, or any other method or device used to assist unauthorized personnel to gain admittance to the exhibition floor, will be cause for expelling the Company and its representative(s) from the exhibition floor and/or banning them from future entrance to the Event. Violations of this section also warrant the removal of Company’s booth from the floor without obligation by the Organizer to refund of any fees. The Company, their employees and agents, and anyone claiming to be in the hall associated with the Company, waives any rights or claims for damages arising out of the enforcement of this rule.


Temporary Wristbands for Build-Up/Dismantling

Temporary, expiring wristbands will be used for exhibiting company employees, booth builders/designers, and anyone associated with your booth who is working during build-up and dismantling. Temporary wristbands will be available by Security, locations TBD. Government photo ID should be presented upon request for the issuance of a temporary wristband. Refusal to display the wristband as directed by Security will be cause for removal from the site and exclusion from the event for the duration of MWC Americas.


BOOTH PERSONNEL

Booths must be continuously staffed during exhibit hours. With the exception of convenience help (such as receptionists or professional product demonstrators), all booth personnel must be employees of the Company, or its representative. The appearance, dress and decorum of booth personnel must reflect good taste and be consistent with the quality standard of the exhibition. Booth staff, including demonstrations, hosts, and models are required to confine their activities within the Company’s contracted booth Space.

Any Company which fails to occupy the Space will not be refunded any payment. All display systems and equipment/products must be installed and completed on the evening prior to the event opening.


DRESS CODE

All staff at exhibition booths are expected to dress with business and/or business casual attire. Companies must ensure that the attire of all staff they deploy on or around their booth (whether the Company’s direct employees or their contractors) would be considered appropriate in a professional environment. In recognition of the many cultures and nationalities present at MWC20 Los Angeles, attire of any overly revealing or suggestive nature is not permitted. Examples of such attire may include, but are not restricted to:

  • Tops displaying excessive cleavage
  • Tank tops, hatter tops, camisole tops or tube tops
  • Miniskirts or mini-dresses
  • Torn or frayed pants/shorts
  • Second-skin bodysuits
  • Shirts must be worn at all times
  • During installation/dismantle, closed toed shoes must be worn

These guidelines are applicable to all booth staff, regardless of gender, and will be strictly enforced. The Organizer reserves the right to request individual exhibition staff change their attire or leave the premises immediately if the Organizer or another attendee perceives that the individual’s appearance is offensive to other exhibitors or participants.


EMERGENCY RESPONSE

For all emergencies, call building security on any house phone by dialing 3000. You may also contact the LACC 24-hour security team for any reason, from any telephone, at (213) 765-4605. The LACC discourages dialing 911 directly. Due to the size of the Center providing detailed and accurate location information to the first responders should be handed by security..


FOOD & BEVERAGE / CATERING

Dispensing of food and beverage is allowed from the booth for hospitality purposes within Event hours. However, popcorn and unshelled peanuts are not allowed in the booth/exhibition halls at any time. Taste of LA is the exclusive catering contractor for the LACC and no outside food is permitted during the Event and includes installation/dismantle. All food and beverage orders must be placed directly through Taste of LA.


GENERAL FIRE, PUBLIC SAFETY AND CONVENTION FACILITIES REGULATIONS

  • The Venue is a non-smoking building. Smoking is prohibited in all areas.
  • The use of welding or cutting equipment for “demonstration” requires a written permit from the LA County Fire Department.
  • Welding as related to exhibit construction, fabrication, repair, etc., is not allowed anywhere inside the exhibit halls or other interior spaces. Any such work requiring welding must be done outside the facility in a location determined and approved by the Fire Marshal. Licensed Fire Sprinkler contractors are allowed to use approved torches to solder copper pipe connections of automatic fire sprinkler systems inside the halls.
  • The demonstration or use of equipment using flammable liquid fuel in buildings is prohibited.
  • Combustible liquids shall be used only under permit from the Fire Department. They shall be stored or dispensed from an Underwriting Laboratories (U.L.) approved safety can.
  • All exits, hallways, and aisles leading from the building or tents are to be kept clear and unobstructed at all times.
  • No exit door shall be locked, bolted, or otherwise fastened or blocked at any time an exhibit building is open for business.
  • Any rope, chain, or similar control device that is placed across an aisle or exit path must breakaway to the satisfaction of the Fire Department.
  • Rubbish, trash, and waste shall be removed from buildings at the end of each working day. Metal cans will be provided for metal cuttings, and cuttings shall be kept separate from ordinary combustibles.
  • All electrical wiring shall be installed as per Los Angeles Building and Safety Department Electrical Code.
  • Fire extinguishing equipment must be provided and maintained in all special areas as designated by the Fire Department.
  • All sprinklers, standpipe hose cabinets, and fire alarm pull boxes shall be kept clear and unobstructed at all times.
  • Cylinders of compressed gas, both combustible and non-combustible, shall be installed only by permit from the Fire Department, and shall be half-charged and firmly secured in an upright position.
  • Exit signs must be clearly visible.
  • Where combustible material cannot be removed from the area of operations, another person, competent in the use of fire extinguishing equipment, shall be assigned the duty of preventing or extinguishing any accidental fire that may occur during such operations.
  • All appropriate local, state and federal guidelines shall be followed to appropriately dispose of all hazardous waste materials.

GIVE-A-WAYS

The MWC Los Angeles Organizer Team reserves the right to evaluate the safety and/or offensiveness of novelty item handouts.


HARD HATS & HIGH VISIBILITY VEST

As a continued effort to maintain health and safety precautions at all Organizer events, we strongly encourage all personnel to wear a hard hat and high visibility vest during build-up and dismantling days.


NOISE

Out of respect for your fellow exhibitors, it is requested that demonstrations, which may generate noise during the event opening hours, are kept to a minimum. All loudspeakers are to be positioned within the boundaries of the booth and angled so that they face inwards towards the center point of the booth. The maximum permitted volume in booths is 3db above background noise, measured from 10ft distance to the booth. The Organizer is authorized to restrict any demonstrations which do not comply with the regulations.

In general, exhibitors may use sound equipment in their booths so long as the noise level does not disrupt the activities of neighboring exhibitors. Speakers and other sound devices should be positioned so as to direct sound into the booth rather than into the aisle. (Refer to OSHA at ww.osha.gov for more information)

Please note that GSMA has entered into an agreement with ASCAP, SESAC, and BMI that settles some uses of intellectual property rights managed by the aforementioned entities in the course of MWC Los Angeles. Specifically, if you intend to play pre-recorded background music on your booth as a secondary or accessory manner you therefore need not to apply for the relevant licenses for public performance. However, please note that live performances, dancing events, or parties are not included in the general agreement entered by GSMA with ASCAP, SESAC, or BMI, and any events held outside the Event premises may not be covered by such license.  Therefore, should you wish to organize any such event, you should contact the relevant entit[ies] directly to secure licensing.

SECURITY & OVERNIGHT WORK

Each Company must make its own provisions for the safety of its goods, materials, equipment and displays at all times. General overall security will be provided for the exhibition period. Neither the security service nor the Organizer will be responsible for the loss or damage of property.

PLEASE NOTE: If Company requires late work access during the move-in period between Saturday, October 24and Monday, October 26, the request must be submitted no later than Noon of each day in which such extended hours are needed, at your nearest Exhibitor Service Desk (ESD) or a floor manager.

Overnight security for the booth is required and can be ordered through the security vendor. Any booths over 1,500 square feet must have two (2) security guards present.

If approved, late working hours are between 7:00 PM – 8:00 AM the next day. No overnight build work can be requested Tuesday, October 27. All crates must be removed the evening of Tuesday, October 27.

All exhibitors that have any show-related incident must report these immediately to Show Security. If there is a medical related emergency, security must be notified so that the on-site paramedics can be summoned, or dial extension 3000 on an LACC house phone. DO NOT dial 911. There are First Aid facilities located on both the West and South sides of the LACC, as well as show security offices on both West and South sides of the LACC.

Company must report all incidents to the appropriate parties as soon as it occurs. Do not wait until the end of the Event.


SELLING OF GOODS

Exhibitors are strictly prohibited from selling goods and services, for cash or otherwise, inside the Venue.


ANIMALS

Use or display of non-ADA service animals is allowable within contracted space with a permit from the City of Los Angeles Animal Services Department. Please visit www.laanimalservices.com for detailed rules and regulations governing this and complete permit application process. The Center may require additional requirements and staffing, including but not limited to, increased liability insurance and event staffing for exotic animals and proposed use of the animals.

In compliance with ADA, the LACC welcomes service animals accompany people with disabilities in all areas of the facility where the public is normally allowed to go. 


SMOKING POLICY

Smoking is not allowed within any of the exhibit halls, meeting rooms or public lobby areas. Los Angeles laws prevent smoking within 25 feet of building entrances. Advertising of cigarettes and tobacco products is prohibited in the LACC. The use of any cigarette or tobacco product name in promotion or product is prohibited.


SUITCASING AND OUTBOARDING

Suitcasing and Outboarding are strictly prohibited. Suitcasing refers to the practice of companies or persons who go to shows as attendees but "work the aisles," soliciting business from other attendees and exhibitors. Outboarding refers to non-supporting companies who set up exhibits or events at off-site locations, such as hotel hospitality suites or nearby restaurants, and encourage attendees to leave the show floor and spend time with them. For the good of the show and the exhibitors supporting the show, the only legitimate place to conduct business during Event Hours is within a contracted exhibition or hospitality space within the Venue. The Company shall not suggest or encourage an Event participant to attend a location outside the Venue in order to conduct business.


TIPPING

GSMA requests the cooperation of all exhibitors to refrain from the issuing of tips or additional payments. Any demands for such payments should be reported to the GSMA Customer Care Team immediately.
