Registration Overview

MWC Shanghai offers a robust and integrated registration process so that you may invite your programme attendees for MWC Shanghai 2022 pre-event.  To comply with Health & Safety best practice, mandatory ID submission has been introduced as part of the registration process. All attendees must self-register and insert their identity card/passport/travel permit number during the registration process. For Mainland Chinese visitors, real-time ID verification will be completed at the point of registration.

Attendees are required to self-register as there are requirements to provide personal information during the registration process, and no 3rd party registration is allowed. The Bulk registration functionality has therefore been removed from the registration system.

Registration for your partner programme(s) will begin end of April 2022. During the Partner kick-off call, you will be provided with an overview of the registration system and Programme Application System (PAS) processes. You will also have access to training videos, tand user guides. Your partner programme registration account log in details will be provided, and your account will be activated and ready for use.

PLEASE NOTE:

If you are also an Exhibitor, your partner programme pass allocation cannot be managed in the Exhibition Stand E&P account. These passes must be managed directly through your partner account.

This registration system, including all components listed in the summary below, are included in your partner programme package. If you have additional registration requirements, please be sure to discuss with us.

Introduction to the Exhibitor & Partner Invitation System

In order to invite your attendees to MWC Shanghai 2022, including your partner programme staff and contractors, you have been provided with access to Exhibitor & Partner Invitation System (E&P System). This system offers your registration coordinators the opportunity to centrally manage invitations and control entry to your programme onsite.

Programme Application System (PAS)

Programme Application System (PAS) is part of the Exhibitor & Partner Invitation (E&P) System. The GSMA developed a system to collect limited demographic information from attendees who indicated they would like to attend various partner programmes. These leads are gathered from a variety of sources: the MWC Shanghai website, partner communications, GSMA emails and press releases. PAS System allows them to:

  • View basic personal and demographic data, accept or decline their request to attend the programme
  • See if the applicant to your programme or uploaded attendee already has a pass to attend 2022 MWC Shanghai
  • Offer a free pass to an attendee and automatically add them to the attendance list
  • Add to attendance list, without offering a free pass

Adding your programme to the Programme Application System is voluntary. If you decide at a later date you want your event to be added, your Events Programme Manager can quickly and easily add your information.

Username and Password for Exhibitor & Partner Invitation System

To first access the Exhibitor & Partner System, you will be asked to identify your company’s partner programme’s primary registration coordinator and provide this information via your Online Event Manual. Your coordinator will receive a Username and Password credentials by email once the registration system training has been completed.

Your primary registration coordinator will be able to add up to 4 additional registration coordinators for your account.  

If you do not know your Username (email address) / Password, you can click the “Forgot password?” link and enter your email address to retrieve it.

Programme Attendee Registration

To understand the partner Partner Application System and process, you must first understand how you may register attendees for your programme. You will have access to training videos and user guides.

Attendees may be registered for your programme(s) by one or more of the following methods:

  1. Registered Attendees apply to your programme through the “My Programmes” in their registration account
  2. Attendees without a pass can apply to your programmes via PAS system.
  3. You choose to upload your own list of attendees through the registration system
  4. You choose to add attendees onsite at the door the day of your programme

This information will be added to your registration account for a comprehensive means to manage your attendees.

Manage Programmes and Your Attendance List

Once you have logged into Exhibitor & Partner System, you will manage the majority of registrations for your programme through the Manage Programme section. The Manage Programme functionality allows you to do the following:  

  • Review all applications submitted by attendees through the Partner Application System for your programme
  • Approve or Decline applicants to your programme
  • Browse all of your programme applicants and attendees, check their registration status and export registration lists
  • Send invitations to register to interested attendees who are not already registered for MWC Shanghai
  • Upload attendance list (if pre-approved attendees on this list have not registered for a pass, please extend them an invitation to register. For details, please refer to the “Pass Management” section of this document)

PLEASE NOTE: It is highly recommended that you approve or decline all applications to your programme. This assists with on-site attendee planning, as well as provides a response to the applicant (see the Communication section below).

Pass Management

As a Partner of MWC Shanghai 2022, you are allocated a certain number of passes for the event that you can use to invite attendees to register.

Your pass allocation may be viewed in the Manage Passes section, which provides a breakdown of available registration pass types and allocation. In this section you will be able to complete the following:

  • Manage your allocation of passes
  • View attendees who you are invited to register for MWC Shanghai 2022 using one of your pass allocations
  • View attendees who have registered for MWC Shanghai using your pass allocations
  • Re-send invitations
  • Revoke/cancel one of your invitations 
PLEASE NOTE: You must use a valid email address for any attendees you are inviting.  The attendee email address is the unique identifier for the individual attendee. This also provides the attendee with their own MWC Shanghai registration account.  All attendees must have the ability to set their preferences and modify their registration data as well as receive important registration and badge collection instructions.

Exhibitor & Partner Invitation System Communication Emails and Badge Information

There are a series of automated email communications generated by the Exhibitor & Partner System and sent to the attendee. The emails contain information about your programme, and notify an attendee if you have:

  1. Received their application to attend your programme
  2. Accepted or declined their application
  3. Invited them to register with one of your passes 
Once an attendee is registered for an MWC Shanghai pass they will receive a final confirmation email. Attendees who have completed their registration and payment (if any) are allowed to access to the venue. If attendees are not receiving system communications, Please ask them to check their junk/spam mailbox or add registration@mwcshanghai.com to their contact list.

At MWC22 Shanghai, we are utilizing digital badges for all Mainland Chinese visitors. Please ensure you bring your Chinese ID card with you for event access via our ID gates. Your digital badge will be made available to you, after you have completed the identity verification process at our ID gates. Printed badges will not be provided.

For non-Mainland Chinese visitors, please bring your passport or travel permit (this must be the same document you used during the registration process) to the event and approach the “Non-Mainland Chinese Visitors” registration counter. You will be provided a printed badge and you will access the event using our ID gates.

Access will be denied if you cannot produce your Chinese ID, Passport or Travel Permit (whichever is applicable).

Badge Scanning and Hostesses

Your programme hostesses will be provided with scanners to scan attendees at your venue entrance. The scanner will indicate if you have included them on your Attendance List or not. Those attendees on your attendance list will automatically be granted entrance into your programme. All others will be asked to wait in a queue line and we will look to you to determine if you will admit them to your programme. Should you choose to allow the attendees who are not on the attendance list into your programme the scanner can be overridden to collect the attendee’s data and include them on your final scanning report.

All attendees scanned into your programme will be included in the Scanning Report.

PLEASE NOTE: The scanners used for your partner programme are provided as part of your programme package. These scanners are part of a secure process through our registration system, and as such we do not allow third party scanners to be used to provide access to your programme. Please contact our GSMA Events Programme Management team to discuss any additional scanning requirements.
