24 HOUR WORKING

24 hour working at Shanghai New International Expo Centre (SNIEC) is not permitted. However, any contractors/ exhibitors who, for any reasons, require to work overtime in the Exhibition Hall beyond the Exhibition Open Times should be aware of the overtime charges for which they will personally be responsible. Application has to go direct to Shanghai Xin Mei Ge Exhibition Co. Service Desk before 1500 hrs on the day of the intended late working.

Construction work during the event open days is strictly prohibited. For security reasons such work is not permitted even outside the official opening times.

BUILD UP
It is important that you contact us in good time should you foresee any problems keeping to this schedule. All stands must be finished by 22:00 Tuesday 25 June 2019.

ACCESS TO THE VENUE – EXHIBITOR PERSONNEL
For safety reason, we do not encourage you entering the exhibition halls during the heavy build-up on Sunday and Monday. However, if any Space Only/ Shell Scheme/ Meeting Room exhibitor personnel requiring access to the exhibition hall during build-up or dismantling must hold the Build Up & Dismantling Passes.

Build Up & Dismantle Passes can be collected from the SYMA desk at the SNIEC Entrance Hall 2 and a Photographic ID will be required when collecting your passes.

ACCESS TO THE VENUE – CONTRACTOR
According to the regulation from Shanghai New International Expo Centre, all contractors should purchase contractor badges on-site with showing build-up deposit receipt, a carbon copy of insurance contract from setting up to dismantling period, a name list, ID copies and photos of all workmen. Each badge is RMB 50. Personnel may not engage in construction activities without a badge.

Contractors with trucks or any other commercial vehicles should apply for a Vehicle Pass which will be charged at RMB 50/vehicle with a RMB 300 deposit. The time limit for loading is 1.5 hours in the Centre. The overtime charge will be assessed at RMB100 / 30 mins. And SNIEC requires local truck drivers to register on SNIEC's WecChat. Once the registration is completed (the registration cost RMB20.00/pass), the WeChat system will give an arrival time and pass it to the driver. Drivers need to print out the pass, put it on the truck and arrive at the parking place on time. Details can be found here. (Chinese version Only)

Please Note: It is compulsory for all space only stands to submit the Damages Deposit Form. Exhibitors and contractors will not be granted passes to access the hall to commence build if this form has not been submitted.


DISMANTLING

GSMA MWC19 Shanghai will close on Friday 28 June at 16:00.

Removal of exhibits and displays commences after 16:00 on 28 June and only once all visitors have left the exhibition hall. Under no circumstances before 16:00 on 28 June may any goods be removed or packed away from your stand. In the interest of health and safety, exhibitors are asked to not continue with hospitality on their stands after the event has closed.


Process for removing items from the exhibition hall during dismantling:

  • Exhibitors and contractors who need to remove large items from the exhibition hall during the dismantling period must first obtain a removal permit form from the official freight forwarder. The exhibitor / contractor must complete this form with all of the details of the items they wish to remove and then obtain a ‘stamp’ as approval from the official freight forwarder.
  • The office of the official freight forwarder is located inside the exhibition hall. Exhibitors and contractors need to show their badges to verify their identity.
  • When moving out the items, exhibitors and contractors need to show the stamped approved removal permit to the security guard at the gate for cross-checking. The security guard at the gate has the right to request an open-bag search to all exhibitors and contractors.
  • Items requiring declaration on the removal permit include, but are not limited to computers, monitors, display screens, items in paper / plastic bags, suitcases, paper boxes, and other large or valuable items.


Electrical power to stands will be switched on 30 minutes before the show opens and switched off 30 minutes after the show closes. Electrical orders can be placed by clicking here.

Traffic around the hall will be particularly busy during the first few hours of dismantling.  For all shell scheme and app pod exhibitors as well as clients with shell scheme meeting rooms should note that the official contractor will commence the dismantling of shell scheme from 09:00 on Friday 28 June 2019, by which time these stands will need to be clear and ready for dismantling.

Dismantling of space only stands and the removal of all stand fitting materials, structures, flooring and carpets must be completed by 18:00 on Saturday 29 June 2019. Exhibitors are strongly advised not to leave any valuable items unattended on your stand during this time. Neither GSMA Ltd nor SNIEC can accept any responsibility for any loss or damage. Exhibitors are strongly advised to check their insurance policy to ensure that sufficient cover is in place.

ELECTRICAL SERVICES AND ELECTRICAL REGULATIONS

Electricity will be switched on for stands as quickly as possible during the build-up period, subject to satisfactory inspection and testing of installations. Occasionally delays may occur due to the fact that adjoining stands are not complete and ready for inspection. During the open period, power to stands will be switched on from 30 minutes before the event opens and turned off 30 minutes after the event closes. Any exhibitor needing electricity for the running down of machinery or working equipment etc after the exhibition closes on the final day must inform the official contractor of their requirements no later than 17 May 2019. Please remember to specify 24-hour electricity supply if this is required for refrigerators or computer equipment.

SECURITY

There will be general security cover during the event period from 25 June until 29 June 2019. Exhibitors should however take care to ensure that their goods are safeguarded, particularly during build-up and dismantling as these are extremely vulnerable times. Exhibitors are strongly advised to have a lockable counter unit (or area) on their stand for use during the event open hours, and then remove all valuables (especially small items or computers) from their stand overnight. GSMA Ltd and SNIEC cannot take responsibility for any item left unattended at any time.

CONTRACTORS ACCESS DURING SHOW OPENING DAYS

  • All exhibitors can register contractor personnel that they wish to have on-site during the opening days of the event if required.
  • Please note you will have to register these badges via the Exhibitor and Partner Invitation System. Please click here for further information regarding the Invitation System. These passes can be collected at Registration Hall from Tuesday 23 June 2019.

EMPTY PACKAGING/STORAGE

  • During build up the exhibition halls and the whole exhibition site must be free of packaging 24 hours before the event commences. After this time the Organisers reserve the right to forbid any further work being carried out on stands. Please click here to see build up schedule.
  • If the exhibitors or their contractors have not removed all empty packaging by the specified time the Organiser may order their removal with any associated costs being borne by the exhibitor. The Organiser does not take any responsibility for packaging material removed.
  • No excess stock and literature or packing cases or other flammable materials may be stored in any unauthorised areas or voids.
  • Storage underneath stages and structures is strictly forbidden.
  • Official Forwarder offers a packaging holding service which includes removal, holding and return-to-stand of packaging materials.
