Personal Hygiene

The Company will be required to adopt and promote a positive personal hygiene culture for all staff, suppliers and contractors, including:

  • frequent hand hygiene
  • cough etiquette (cough or sneeze in to bent elbow, not hands, and avoid touching the face)
  • the use of face mask in the terms set out in the Code of Conduct



Use Of Face Masks

Every individual will be required to wear a face mask in compliance with the Event regulations including the proper use covering the mouth and nose.

Only Filtering Facepiece Respirator (“FFP2”) face masks satisfying European Standard EN 149:2001 and bearing the CE mark are accepted.

FFP2 face masks with exhalation valves, surgical masks and cloth masks will not be accepted. Please note, this section may be updated at any time to include additional face masks which may be approved by the Health Authorities.

The use of a face mask is mandatory on closed spaces.

The use of a face mask in outdoor spaces is mandatory where it is not possible to maintain physical distance of 1.5m due to the agglomeration of people.

Individuals must only lower their mask when actively eating or drinking, returning their mask to its position between intervals.

The Company will be required that every individual in its stand (including, but not limited to stand staff, suppliers, contractors and visitors) is correctly wearing their face mask during build-up, show days and dismantling. All individuals are required to bring their own face mask(s), satisfying the criteria set forth above, to the Event. GSMA will not provide face masks to any Event participant. Any individual without authorized face masks may be denied entry or asked to leave the Event.

Mask Exemption

According to current health regulations, wearing a face mask is not required for people who suffer from a respiratory condition which may be aggravated by wearing a face mask. Individuals who are exempt will need to present a medical certificate from the official medical partner of the event, QuirónPrevención, in order to access the venue.

To obtain the medical certificate from QuirónPrevención, the individual must in advance send a copy of the health certificate from their own doctor (doctors note) for verification. The doctors note should be written in Spanish, English, French or German. If in any other language it should be accompanied by a translation into Spanish, carried out by an official body.

Doctors notes should be sent by email to facemaskmwc@quironprevencion.com. Once verified, QuirónPrevención will issue an official face mask exemption certificate that can be used at the event.


Adult Content

The organisers reserve the right to close a stand, at any time if an exhibitor or its stand is considered to be displaying materials of an offensive nature. Any costs associated with this act will be borne by the exhibitor.



Alcohol & Drugs

The use of alcohol, drugs and other substances can affect performance and safety. It is prohibited for any exhibitor, supplier, contractor or their representative to be under the influence of alcohol or illegal drugs while working at the venue, or while performing site activities, including operating vehicles or equipment. 

Any person found to be under the influence or whom, in the opinion of the organiser or its representatives, constitutes a danger to themselves or any other person within 4YFN, will be removed from the venue and if necessary further action will be taken.

Alcoholic beverages are permitted to be served on your stand for entertainment purposes. The organisers ask for your collaboration when serving, to avoid excessive use by individuals. Please submit a Stand Event form via Forms & Deadlines if you are planning to hold an event on your stand.


Anti-Harassment

GSMA is dedicated to providing a positive, harassment-free event experience for all participants and staff, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age or religion. The GSMA does not tolerate harassment of event participants or staff in any form. The use of rude or harassing language and imagery (including that of a sexualised nature) is not appropriate at any GSMA event or related social activity, sponsored or organised by the GSMA. Any event participant, including exhibitors and exhibitor staff, found to be violating this policy may be sanctioned or expelled without a refund, at the GSMA’s sole discretion. 


Compliance with Authorities

The Event, the Venue and any related Event venues are under the jurisdiction of the police, courts, authorities and applicable laws and regulations of the city of Barcelona, the region of Catalonia, and the nation of Spain. The Organizer, Fira de Barcelona, exhibitors, advertisers, sponsors, contractors, attendees, and all other third parties involved in the Event are obliged to comply with all applicable laws, as well as the requirements of the police, the courts and regulatory authorities, including but not limited to security measures, health and safety measures and the enforcement of warrants.


Copyrights

Please note that GSMA has entered into an agreement with SGAE, AIE and AGEDI that settles any and all use of intellectual property rights managed by the aforementioned entities in the course of the Event. If you intend to play pre-recorded background music or show music videos on your stand as a secondary or accessory manner you therefore need not to apply for the relevant licenses for public performance. However, please note that live performances, dancing events, or parties are not included in the general agreement entered by GSMA with SGAE, AIE, AGEDI. Therefore, should you wish to organise any such event, or should you have any doubt as to whether a license would be required, you should contact the referred entities. 

If films are to be projected, the exhibitor must apply for the appropriate authorisation from EGEDA, the entity which administers the public performance rights of the audio-visual producers, and from AISGE who manage the rights of actors and actresses.

Dress Code at the Event

Exhibition stand staff are expected to dress in business and/or business casual attire. It is the responsibility of the exhibitor to ensure that all staff deployed on or around their stand (whether the exhibitor’s direct employees or their contractors) are dressed in an appropriate, professional manner. In recognition of the many cultures and nationalities present at 4YFN, attire of an overly revealing or suggestive nature is strictly prohibited.  Examples of such attire may include, but are not restricted to: 

  • Tops displaying excessive cleavage 
  • Tank tops, halter tops, camisole tops or tube tops (Shoulders are not required to be covered however it is advised to opt for wider strap tops / dresses over ‘tight spaghetti string tops’)
  • Crop tops or other midriff-bearing tops
  • Miniskirts or mini-dresses (Knees are not required to be covered. It is advised that if wearing short skirts / dresses they are not bodycon, tight fitting, slinky, body hugging)
  • Shorts
  • Second-skin bodysuits

The guidelines detailed above are applicable to all stand staff, regardless of gender, and will be strictly enforced. 

The GSMA and the Venue reserve the right to request that any individual within the venue grounds, change their attire or leave the premises immediately if their appearance is perceived to be offensive to other exhibitors or participants.  


Hospitality Suite Policy

  • Hospitality Suites are meant for the purposes of private meetings / entertainment. Hospitality Suite structures should be enclosed in such a manner as to prevent general access to the suite, allowing access only to pre-invited guests via a reception desk
  • Under no circumstances can a Hospitality Suite have open sides allowing general access, nor can Hospitality Suites include provision for any kind of public product demonstration
  • Low walling of no less than 1.1m in height is permitted as an enclosure, along the perimeter of a Hospitality Suite
  • Promotional videos should not be displayed along the perimeter of a Hospitality Suite, nor should promotional videos be viewable from the surrounding aisles. Any non-promotional videos that can be viewed from the aisles should be without sound

Minors

The GSMA acknowledges that there may be circumstances in which a guardian has to bring an individual younger than 16 years of age (a “Minor”) to the Event in the absence of adequate childcare. Please keep in mind that the Event includes the following before deciding to bring a Minor to the Event as the Event environment may not be suitable for all Minors.

Large crowds
Loud noises and music
Significant visual stimulation (including bright lights, large screens and demonstrations)

We understand that there are special circumstances that require you to bring a minor to MWC.  With this in mind, we have put in place a process for requesting a minor to attend MWC.  Please fill out the request form by clicking the link below.

General Event Requirements: The adult must accompany the Minor at all times and is responsible for ensuring both the Minor’s safety and the Minor’s compliance with all rules and regulations, including all health and safety protocols. Adults are asked to help maintain a professional, disturbance-free environment. 

For safety reasons, Minors are not permitted entry to the Event venue during build-up and dismantling. No exceptions are provided.



Noise

The organiser reserves the right to limit the use of sound systems to certain times of the day and, if the nuisance remains, turn off the source of the noise. The organiser also reserves0 the right to curtail or ban demonstrations if complaints are received.

Any exhibitors wishing to feature presentations, demonstrations, simulations or devices producing noise, shall adhere to the following rules and regulations:

  • Any equipment, presentations, demonstrations, simulations or devices producing noise shall not disturb neighbouring exhibitors or visitors
  • All noise originating from an exhibit must be set at a reasonable level at all times and shall not exceed 3db above background noise, measured from 3m distance to the stand. This applies to stands inside and outside
  • Out of respect for fellow exhibitors, it is requested that demonstrations, which generate noise, are kept to a minimum
  • Any speaker(s) or sound equipment within an exhibiting stand must be positioned to minimize the amount of noise or distraction towards aisles and neighbouring exhibits
  • Any audio or visual productions being played within an exhibit must be positioned to minimize the amount of noise or distraction towards aisles and neighbouring exhibits

We advise you to download a volume meter app, should you wish to keep control of the volume of your music. If you are playing music or showing videos on your stand please refer to the copyrights rules



Outboarding & Suitcasing

Suitcasing: The practice of companies or persons who attend shows as attendees but 'work the aisles', soliciting business from other attendees and exhibitors.

Outboarding: Non-supporting companies which set up exhibits or events at off-site locations, such as hotel hospitality suites or nearby restaurants, and encourage attendees to leave the show floor and spend time with them. 

Both practices are strictly prohibited at the event. For the good of the show and the exhibitors supporting the event, the only legitimate area to conduct business during event hours, is within a contracted exhibition or hospitality space within the Venue. Companies shall not suggest or encourage an event participant to attend a location outside the Venue, in order to conduct business.

Photography & Filming

Photography and filming is not permitted during build-up or dismantling for the privacy of all clients attending. Anyone found taking photos or filming will be stopped by security. Any photos or films posted on social media from the period of build-up or dismantling, will be removed / banned and further action will be taken.

Selling of Goods

Exhibitors are strictly prohibited from selling goods and services, for cash or otherwise, inside the Venue. If any participant is found to be doing so, further action will be taken.


Smoking

Smoking, including the use of smokeless tobacco products, e-cigarettes and unregulated nicotine products within FIRA premises (Gran Via or Montjuïc) is strictly prohibited except in designated areas. This prohibition applies to build up, event open and dismantling days.

Waste Removal

General waste bins and skips will not be provided in the venue. It is the responsibility of the Company to adhere to the Waste Removal Rules as published in the Online Event Manual.
4YFN has 0% waste tolerance policy, this means you are responsible for removing all stand fitting waste, flooring and any other material from your stand during build up and dismantling.
We encourage all companies to Reduce, Reuse or Recycle as much of your stands materials as possible. Please check our 4YFN Donation Room initiative, should you have any unwanted material to donate to local charity.

Wireless Policy

It is forbidden to install or operate devices that propagate a wireless signal, as these will cause interferences in the general services provided at the venue. Please refer to the “Wireless Policy” section under Rules and Regulation for further information.
